At the end of your research project, you need to offboard your research data from the systems and platforms you have used.

As part of this process, you should create an overview of your project data and decide what needs to be preserved, published or deleted. You also need to move data that should be preserved to an appropriate storage system, transfer data for publication to a data repository, and delete project data from AAU platforms when it is no longer needed there.

When your research project ends, you should decide what research data needs to be preserved, for how long, and where it should be stored.

Make sure that data that needs to be kept is moved to an appropriate solution for long-term preservation, where it remains securely stored, documented and accessible. At AAU, you can use DataDeposit to preserve research data, including sensitive data, when you are no longer actively working with it.

At AAU, it is mandatory to create a Data Management Plan (DMP) for your research project. Your DMP is a living document and should be kept up to date throughout your research so that it continues to reflect how your research data is handled.

You should review your DMP when significant changes occur. This may, for example, include changes to the types of data you collect or generate, how data is documented or organised, where data is stored or processed, who has access to it, or how data will be shared, published, archived or preserved.

It is also a good idea to review your DMP at key points in your research, for example when new data is collected, when your research enters a new phase, or before data is shared, published or preserved.

You should review how your research registrations contribute to institutional indicators such as the AAU Research & Innovation Indicator. Ensuring that your data is complete and accurate helps reflect your research output and impact correctly in institutional reporting and evaluations.

You may also consider how your research is reflected through different types of impact, including traditional metrics (such as citations), alternative metrics (such as usage and online attention), and societal impact. Being aware of these perspectives can support your understanding of how your research contributes both within academia and beyond.

When your research is coming to an end, the project must be financially reported and closed in collaboration with your project administrator. Make sure they have the information they need by keeping them updated on the progress of your research and informing them as soon as possible about any delays or other changes that may affect the financial reporting.
