From the overview you must identify which data should be published, preserved or deleted after the project has ended.

Be aware of policies, legislation, requirements from foundations, etc. that may have described specific ways data needs to be handled after the project.

Data preservation is about ensuring that research data remains stored, documented, and accessible after a research project has ended. By preserving data appropriately, researchers can reduce the risk of valuable data being lost, deleted by mistake, or stored in unsuitable locations. Furthermore research preservation supports transparency, reproducibility, and long-term value by enabling verification of results, facilitating future research, protecting valuable investments, and helping meet institutional and funder requirements.

At AAU, it is recommended to use DataDeposit for long term storage for preservation, which is a local system for this purpose.

When preserving your research data, you should be aware of:

- Remember to check if your digital research data must be reported to the Danish National Archives at the end of the project. Read more here. 

- According to AAU’s Data Management Policy; A copy of the finalized research data, associated metadata and other project documentation must be stored at AAU’s local storage system (DataDeposit) with appropriate access conditions, unless other agreements are made.

- The Danish Code of Conduct for Research Integrity recommends that research data be preserved and documented so that research results can be verified and reproduced where relevant. Read more about whether this applies to your research data here.

- If your data contains personal information, you should be aware of whether you are allowed to preserve it and how it should be handled. Read more about preserving data containing personal information here. 

By default research data underlying research publications must be publicly available after the project has ended, to the extent that it’s possible.

This may be prevented by legal, contractual, competitive, or patent issues, which may damage the news value of the research or for security reasons, if the data is considered security relevant or subject to export control.

In cases where data can’t be shared openly, it must be considered if it’s possible to share the metadata associated with the research data. Data sharing should be in accordance with the principle of ‘as open as possible, as closed as necessary cf. AAU policy for research data management.

This could e.g. be platforms like Zenodo or Figshare. These are internationally recognized data repositories for publishing digital objects - research outputs and metadata.

When you have decided which data to publish and preserve, you should move the data to the chosen solutions for this, and delete all data from the remaining AAU platforms.

This includes all AAU platforms that has been used to e.g.  process, manage or analyze data from the research project.

Be aware that several AAU platforms has terms and conditions that describes how users are expected to act regarding deletion of data (For instance AAU's HPC resources)

Yes, DataDeposit can handle sensitive data. DataDeposit can handle data up to and including level 3 according to Aalborg University’s data classification model.

That is up to you. The important part is that you do both things.
